PRESERVATION PROCESS

1989 Royal Winnipeg Ballet Alumni Association originated as direct result of RWB 50th anniversary reunion
1991

Formalized with constitution
Mandate: (D) Preserve Royal Winnipeg Ballet heritage through the development of an archives

1994 Connected with AMA (Association of Manitoba Archivists) by individual membership, becoming Association Member in 2004.
1995 “Living” archives established on site. Resource Centre recognized as complementary to PAM (Provincial Archives of Manitoba). Resource Centre holds the artistic records (programs (playbills), posters, news clippings (reviews, publicity), notation scores, videos (performance, interviews).
Re PAM
1977   Depository  ie. Residual archives
1987   Depository
2001   Depository of financial administrative records by RWB Alumni Assoc.
1998 Royal Winnipeg Ballet Board authorized by the amendment of Bylaw 1B, May 25, 1998 that “The archives be established as an official project of the Royal Winnipeg Ballet Alumni Association with the RWB being recognized as the parent organization”.
2004 Archival consultant (Carole Boily) hired as advisor on an on-going basis, particularly in relation to electronic archiving. (Carole Boily is a former archivist for The Grey Nuns, past president of the Association of Manitoba Archivists.)

Since inception, the RWB Alumni Association publishes a yearly membership directory, international (currently 204 members) and a quarterly newsletter.
As a constant reminder of the dance heritage of RWB, “Project Vintage” was created – mounted posters (350) displayed within the building as well as five display cases, periodically renewed. The general public is able to view this during tours conducted by the organization.2006 Cataloging and digitalizing of records on-going.

    CHALLENGES

    1. To instigate a system of record management within the parent organization that will give clear direction as to the transfer and disposal of records to the “resource centre”.

2.To include fundraising in support of preserving the history and legacy of the RWB within their administrative structure, ie. A category within fundraising grant requests etc. To date, financial support for archival work has been a concern only for the RWB Alumni Association.

    3. Until now, the archival focus has been solely “paper”. However, the video library is of special concern (a wealth of historic dance videos aging and degrading). This section is in dire need of transfer to digital format.
